Who we are
Cairn is made by Shindar Tech (“we”). If you have a question about this policy or your information, write to [email protected] and a person will answer.
This website
- The site sets no cookies and uses no analytics, tracking or third-party scripts.
- Our host, Cloudflare, handles each visit and keeps standard technical records, such as IP addresses, to deliver the site and protect it from abuse.
- If you email us, we use your name, address and message to reply. We keep the conversation while we’re working with you.
The Cairn app
Settlement agencies use Cairn to keep records about their clients, classes and programs. The agency decides what to collect and why. We hold those records on the agency’s behalf, under our agreement with them, and use them only to run Cairn for that agency.
What Cairn holds:
- Client records entered by agency staff or through the agency’s online application, such as contact details, family members, settlement and immigration details, case notes, attendance, assessments, documents and messages.
- Staff accounts: name, work email, role and programs, a password stored only as a one-way hash, and a history of sign-ins and changes.
We don’t sell personal information, show ads, or use an agency’s records for anything except running Cairn for that agency. The app uses cookies only to keep you signed in and to protect your session.
Service providers
To run Cairn we use providers for hosting and storage, email delivery, text messages and, when an agency turns it on, translating messages. Each receives only what it needs for that work and is bound by contract to protect it.
Some of these providers store or process information outside Canada, including in the United States. While it’s there, it is subject to the laws of that country, and authorities there may be able to access it.
How we protect it
- Everything sent to and from Cairn is encrypted.
- Staff see only the programs and records their role allows, and restricted records stay restricted.
- Cairn keeps a history of who changed each record, and when.
How long we keep it
Each agency decides how long its client records are kept. When an agency stops using Cairn, we return or delete its records as our agreement with them sets out.
Seeing or correcting your information
If you’re a client of an agency that uses Cairn, ask that agency. It controls your record, and we’ll help it respond. Staff can ask their agency’s administrator, or write to us.
If you’re not happy with how your information was handled, tell us first so we can put it right. You can also contact the Office of the Privacy Commissioner of Canada or the privacy commissioner in your province.
Changes
When we change this policy, we update the date at the top. If a change affects how we handle an agency’s records, we tell the agency first.
